Director of Advancement Operations
The Director for Advancement Operations is a full-time, 12 month, MPP (Management Personnel Plan) position within the Office of University Advancement, and reports directly to the Vice President of University Advancement.
The responsibilities of the Director for Advancement Operations include but are not limited to the following:
- Administers all operating functions and reporting systems in support of a comprehensive fundraising, communications and alumni program.
- Responsible for the data integrity of over fifty thousand records, made up of donors, alumni, and various other constituents.
- Serves as the chief oversight resource for all aspects of the: donation fund accounts; donor data management system; prospect management system; data for gift acquisition and renewal programs; and data for benefit -fulfillment programs.
- Serves as database administrator: determines best uses for tables and fields; coordinates the selection of data in preparation of mailings.
- Develops queries and reports to communicate data and analyze performance.
- Oversees a team of professionals dedicated to pledge and gift processing to ensure that gifts from numerous revenue streams are accurately recorded, acknowledged, and reconciled.
- Oversees the preparation and administration of division’s annual operating budget.
Qualifications and Knowledge, Skills and Abilities:
- Five years of progressively responsible experience in administering business operations and budgets, as well as management of financial data, systems, reporting and analysis.
- Proficient use of all Microsoft Office applications.
- Demonstrated experience in organizing, maintaining, managing, troubleshooting, or interacting with computer software systems.
- Proven financial analysis skills applied to budget preparations, pledge and gift fund coding and reconciliation reports;
- Proven ability to interpret and apply policies, laws and regulations governing charitable giving;
- Proven experience in database management systems.
- Experience with report-writing technology;
- Management of support personnel; analytical skills, sufficient to identify problems in a multi-faceted way in order to develop and implement innovative solutions.
- Ability to efficiently coordinate and lead multiple projects, set appropriate priorities and meet competing deadlines;
- Ability to listen actively, effectively convey information, negotiate, identify the nature of problems and bring them to resolve
- Exceptional interpersonal skills to interact effectively and respond flexibly and positively in difficult circumstances; good judgment and discretion, while maintain the security of confidential and sensitive information
- Excellent organizational and time management skills and the ability to work concurrently on competing deadlines;
- Ability to identify training needs and orchestrate related support; capture operational processes and produce workflow documents; records management and disaster recovery plans
- Thorough knowledge of English grammar, spelling and punctuation; clearly communicate with excellent conversation and writing skills
- Possess a valid driver’s license
- Ability to work outside standard hours as needed.
EDUCATION REQUIREMENTS:
- Bachelor’s degree from an accredited institution and/or five years progressive experience in accounting and/or database management field.
Preferred Qualifications:
- Five or more years of related experience in fund development operations in higher education
- Working knowledge of California State University budget policies and procedures
- Working knowledge of PeopleSoft
- Working knowledge of Raiser’s Edge database management system
- Working knowledge of Crystal Reports
- Working knowledge of SharePoint
- Working knowledge of wealth screening processes

Anticipated Starting Date and Application Procedure: The position will remain open until filled. Initial screening of candidates will begin the week of February 22, 2016. The successful candidate will be eligible to start in the position in April or as soon as possible.
