Under the general leadership of the Associate Vice President for Alumni Engagement and Annual Giving, the Engagement Assistant will be responsible for supporting the staff who plan and execute engagement activities and programs for alumni and other key constituencies (i.e., parents, friends, community stakeholders, etc.) of the university. Responsibilities will focus on event logistic support including data collection, coding, scheduling, and customer service. Engagement activities and programs include in-person events, virtual events, lifelong learning, student programs and volunteer opportunities. The Engagement Assistant will directly support these engagement initiatives and collaborate with staff directing these programs.

Duties and Responsibilities: 

  • Assist with event registration tasks including building event registration pages, name badge creation, onsite event support, customer service, and post-event wrap-up/follow-up including surveying attendees and facilitating event payments. • Track and code engagement participation via the alumni database.
  • Coordinate the central calendar of alumni events for the Office of Alumni Engagement and the university.
  • Manage alumni engagement promotional item inventory; responsible for ordering and tracking usage.
  • Assist in the updating of alumni website pages via university Content Management System (CMS).
  • Work in strategic collaboration with the entire Alumni Engagement staff to support office initiatives including program execution, event collaboration and logistical support.
  • Support the coordination of large-scale, annual alumni events such as Homecoming, Winter College, Fast 46, the Alumni Association Achievement Awards and Alumni Weekend.
  • Support student and recent alumni initiatives and programs for international alumni and special interest groups.
  • Serve as a member of Alumni Engagement front-line customer service team. Answer office phone and emails, as needed and provide customer service to incoming inquires.
  • Work in conjunction with other units – divisionally and university wide – in strategic and collaborative efforts to increase alumni engagement.
  • Other duties as assigned.

Reporting Relationships: 

The Engagement Assistant reports directly to the Sr. Director of Alumni Programs in the Office of Alumni Engagement and works collaboratively with other staff within the office to maximize the effectiveness of outreach activities for the purposes of advancing relationships with alumni and other key constituencies.

Functional Relationships: 

Within the Division of University Advancement, the Engagement Assistant works closely with colleagues throughout the division, alumni officers in the schools/units, and unit-based advancement staff. The Engagement Assistant also may collaborate with partners in Annual Giving, Donor Relations and Stewardship, Advancement Communications, and Advancement Services.

Minimum Qualifications: 

  • Experience in one, or a combination, of the following areas (1) alumni engagement, (2) data entry, (3) event planning, (4) higher education, or (5) relevant experience in a business/customer service setting.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects to achieve operational goals.
  • Ability to work independently, with minimal supervision.
  • Ability to work effectively and collaboratively with a wide array of individuals on projects and programs.
  • Ability to work closely with volunteers to deepen their connection to the university.
  • Solid, general knowledge of Microsoft Office programs and data systems experience.
  • Ability to work nights and weekends as needed and requested

Salary range: $35,000-$42,000
