Project Associate, University Annual Giving
University Advancement’s Office of Engagement seeks an energetic, creative and organized Project Associate to provide strategic support on our fast-paced team. This role provides high level administrative support for University Annual Giving as well as oversight and management of projects, assisting with stewardship efforts, and providing financial coordination.
Responsibilities:
- Oversees projects and guides the directors in organizing, facilitating, and actualizing the collaborative efforts of cross-Grounds teams on key initiatives such as 4th year giving
- Coordinates & implements plans for stewardship and events for The Virginia Fund
- Coordinates and manages monthly UAG staff & monthly direct report meetings
- Manages travel arrangements and completes expense reports for UAG in compliance with stated guidelines and policies
- Manages the UAG budget and keeps director informed of all necessary expenditures
- Manages procurement needs such as payment of invoices, contract approval and vendor registration
- Responsible for organizing logistics for interview, hiring and onboarding processes for new employees in University Annual Giving
- Collaborates with the OOE administrative team to ensure completion of shared tasks & initiatives
- Provides customer service to donors and members of the Advancement community
- Makes recommendations for new processes based on policy changes and when situations warrant it
- Manages projects independently, from inception through implementation
- Other duties as assigned
Required Qualifications:
- Bachelor’s degree with at least two years of experience.
- Demonstrate excellent oral and written communication, strong customer service and follow-through skills.
- Ability to handle confidential information in a discreet, professional manner
- Demonstrate excellent organizational skills, with high attention to detail. Ability to meet deadlines
- Proficiency working with computers and related hardware/software such as Microsoft Outlook, Word, Excel, WordPress, Desktop Publishing, etc.
- Proven problem-solving skills and ability to exercise good judgment.
- Demonstrated success in administrative, project management, or marketing profession
- Excellent interpersonal skills with the ability to work independently and as part of a team.
- Experience working with senior staff to effectively accomplish objectives
- Understand the role of development activities as they support the University mission
- Working knowledge of marketing and communications best practices
- Ability to navigate database systems and analyze information
- Analytical and critical thinking skills
- Problem-solving and conflict resolution skills
- Proven ability to manage projects independently, from inception through implementation
Preferred Qualifications:
- Four years or more years of experience is preferred.
- Project management and administrative experience.
- Candidates with experience in higher education, database management, Advance Web, Microsoft Office suite, project management software, or e-mail communications software preferred.
- Knowledge of accounting principles and procedures.
- Advance, Integrated System (Oracle) and prefer advanced level proficiency in Word, Excel, Access and Power Point.
