The Position

The Associate is a member of the Advancement team and assists the Director of Advancement in the administration of special projects with particular focus on the Building Chapin’s Future campaign, the Planned Giving program and the stewardship of Chapin’s supporters. The Associate also helps with the daily administrative tasks of the Advancement Department and is an active participant in ensuring the office functions effectively and efficiently.

Responsibilities 

  • Special projects for the Director of Advancement
  • Organize the compilation of names, tracking and mailing of stewardship reports.
    • With the Director of Advancement, manage the stewardship process for special fund donors
      • Track the reports in the database; ensure proper filing
      • Follow up, if needed, from reporting
  • Assist with Building Chapin’s Future campaign
    • Work with Campaign Director as part of the campaign team on database administration and other related projects.
  • Assist with Chapin’s planned giving program
    • Work with the Campaign and Major Gifts Officer to provide administrative support on occasion.

Additional Responsibilities

  • Maintain records pertaining to relationships with key foundations. Compile reporting information as requested. Assist with preparing proposals.
  • Prospect Research (prepare profiles for individual donors to be circulated to trustees prior to events).
  • Staff the Trustee Development Committee (prepare materials, take minutes, organize follow up).
  • Oversee recognition signage for the School.
  • Assist with phone calls and handwritten notes to meet fundraising and participation goals at year end.
  • Assist with Advancement events as needed (helping with set-up, staffing the check-in table)

Requirements

  • Associate’s or bachelor’s degree in a related field; bachelor’s degree preferred.
  • A minimum of two-three years’ experience in an administrative position, preferably in a not-for-profit development office.
  • Proficiency in Raiser’s Edge and other relational databases preferred.
  • Excellent verbal and written communications skills.
  • Ability to organize, prioritize and follow through on detail-oriented tasks.
  • Ease in working independently.
  • Willingness to accept delegated tasks regularly.
  • Excellent interpersonal skills, discretion and confidentiality.
