Reporting to the Assistant Director of Advancement Resources and working closely with the University Salesforce/Affinaquest Administrators in Information Technology Services (ITS), delivers critical reporting and value-added data insights that meet the University’s Advancement Office needs. Gives guidance and advice to primary users of constituent data reports, and provides leadership in the planning and implementation of data-related services that support the fundraising goals of both the division and the University. Works primarily with University Advancement Office, the Office of Annual Giving, the Office of Major Gifts & Planned Giving, the Alumni Relations Office, the Office of the President, and the Strategic Communications & Marketing Office to provide a wide variety of reports. Produces mailing lists for the Advancement Division and also all departments on campus.

  • Collaborates with internal partners and produces accurate standardized reports of key insights using Advancement’s constituent management platform/CRM (Affinaquest) and Salesforce reporting tools (Apsona).  Develops and builds queries, validates and executes ad-hoc reports that answer specific business questions for internal customers.
  • Regularly attends meetings for Annual Giving (AG) and Alumni Relations (AR) teams to better assist in identifying specific needs for data and reporting resolutions.  Advises and provides evaluative insights to teams in connection with providing and presenting results.
  • Annual Giving Program Support:  Performs data analysis on direct mail and email solicitations.  Coordinates and manages all development/direct marketing prospect data pools and coordinates preparation and data segmentation for all integrated marketing.  Collaborates to determine donor segments and appeal strategies to ensure efficient creation and production of assets used in direct mail, email, social media, phone and personal solicitations and others as determined.
  • Alumni Relations Program Support:  Pulls onsite ‘signature’ alumni event lists; responds and confirms data in support of Alumni Weekend, Holiday Party, River Parade, and the President’s Dinner.
  • Evaluates and maintains a request log and workflow of reports, services, and projects which may be requested on a weekly, monthly, quarterly basis for ready reference and be proactive in meeting data needs over the course of the year (utilizing Asana, or future systems for tracking).  Actively participates in the Advancement Reporting Teams’ regular meetings, advises the Assistant Director in creating items for discussion, and serves to lead the team in the Assistant Director’s absence.   Collaborates with the Assistant Director in developing report training and documentation of reporting related workflows.    Produces the annual Voluntary Support of Education (VSE) report for The University and other like external reporting, as required.
  • Works directly with users to understand their reporting needs, identifying reporting gaps and assists & advises the Assistant Director with creating & improving individualized dashboards for individual roles and departments within Advancement. Works independently and with other team members to support initiatives, programs and events that meet strategic broad-based engagement goals and objectives.   Interprets report results for colleagues and makes recommendations on data integrity and the use of data for decision making purposes. Investigates data to identify trends and requirements to ensure data integrity within the CRM.  Utilizes multiple data points and configurations to support statistical analysis and strategic planning needs throughout Advancement.  Advises and assists colleagues on converting ad-hoc reports to production status based on their use and effectiveness in achieving divisional goals. 
  • Analyzes, troubleshoots, and takes corrective actions per system problems with assistance from the Assistant Director and ITS administrators.   Performs/assists with testing of Affinaquest/Salesforce system enhancements and upgrades. In conjunction, advises and assists the Senior Director of Advancement Services and Assistant Director in performing any work needed to move data/reporting to new software solutions (CRM/ERP) when necessary.

Education: 

  • Required: Bachelor’s degree from an accredited institution.
  • Preferred: Master’s degree from an accredited institution.

Experience: 

Required:

  • Two years of experience in report writing, computer programming, database management, data collection, or a related field.
  • Experience working with fundraising software systems (such as Salesforce/Affinaquest, Raiser’s Edge, or other CRMs) and related reporting tools (Apsona, Informer, et cetera).

Knowledge, Skills, and Abilities: 

Required:

  • Working knowledge of Microsoft Software Suites, including Word, Excel, and Access.
  • Ability to work on both urgent and long-term projects simultaneously, and comfortable with being asked to adapt focus as opportunities arise.
