Assistant Director for School of Medicine Reunion Giving

Reporting to the Director for Constituency and Pipeline Development, this position will manage and expand a comprehensive and highly successful Reunion Giving Program; to maintain and encourage unrestricted annual gifts of all levels, major restricted gifts, multi-year pledges, Davison Club 10K scholarship gifts, and deferred gifts from reunion classes and to assist the Director of Davison Club and Special Gifts, the Director for Constituency and Pipeline Development, Planned Giving officers and major gift officers with developing and reaching annual gift and participation goals for alumni, and other key audiences. Develop and maintain productive relationships with constituents and related departments including DHDAA major gifts and leadership annual giving.

DUTIES & RESPONSIBILITIES

Reunion Gift Program—75 %

  • Design and implement an annual reunion giving plan, and ensure consistency of messaging and quality in all reunion giving materials for alumni, collaborating as needed with colleagues working with young alumni, Half Century Society, and Golden Blue Devils.
  • Identify leadership prospects and develop solicitation plan, taking personal responsibility for soliciting prospects as assigned and communicating potential prospects to the School of Medicine Executive Director of Development, the School of Medicine AVP, and DHDAA major gift officers as needed.
  • Identify, recruit, support, train, cultivate, solicit, recognize, and evaluate class volunteers. Maintain frequent, informative, and consistent communication with volunteers to ensure motivation, clarity of mission and goals, success, and recognition.
  • Develop content and strategies for face-to-face, mail, and phone solicitations as well as other reunion communications to inform, solicit, and recognize donors. Incorporate a year-long communication strategy of reunion class mail letters and reunion email strategy for each class.
  • Identify and manage individual class challenges to increase dollars and participation rates, and incorporate into committee meetings.
  • Travel to visit key volunteers and prospects.
  • Collaborate with Planned Giving and Major Gift Officers to identify and solicit prospects for planned or major gifts.
  • Communicate endowment information/scholarship awards to classes with endowed funds or other special goals.
  • Plan, organize and execute meetings with reunion volunteers.
  • Staff all reunion events as well as events for students, alumni and parents.
  • Assist with preparation for special events and all reunion activities.
  • Plan and execute stewardship activities for reunion volunteers including thank you notes and gifts.

School of Medicine Prospect Development Strategy 10%

  • Identify DHDAA and cross campus University Development officers’ travel through their communicated itineraries to ensure that key School of Medicine volunteers are visited and a reunion gift discussion is communicated to the officer/alumni as needed.
  • Create and update reunion reports to track prospects and progress. Work with AVP, MGOs, Davison Club Director, and Planned Giving officers to develop solicitation strategies for top prospects and meet with the team regularly to discuss and track progress.

Half Century Society—5%

  • Collaborate with colleagues in Alumni and Regional Engagement to develop and implement communication, solicitation, and recognition strategies for Half Century Society members.
  • Work with other development staff in reunion giving, annual giving and major gifts to help craft individual solicitation strategies for $2,500+ prospects and above and to coordinate appropriate assignment of these prospects.
  • Collaborate with SOM Alumni and Regional Engagement colleagues to develop and implement medical alumni weekend programming for the 50th, 55th, and 60th reunion classes.

Recent Graduates—5%

  • Collaborate with SOM Alumni and Regional Engagement colleagues and annual giving colleagues to ensure a successful reunion giving program as it relates to the 5th and 10th reuniting classes, including direct mail, digital communications, and stewardship.
  • Identify and recruit volunteer leadership for 5th, 10th and 15th reunion classes and provide a positive volunteer experience for them.

Program Administration—5%

  • Collaborate with Reunion Giving/Annual Giving/Davison Club/Special Giving team members in planning, marketing, soliciting, writing, design, and stewardship for all audiences.
  • Ensure accuracy of all standard weekly, monthly, and annual reports.
  • Design standardized data request sheets, prospect sheets, and other Reunion Giving forms.
  • Plan and staff special events and volunteer meetings.
  • Perform related duties as requested.

DEPARTMENT PREFERENCES/SKILLS

  • Three years of experience in annual giving or a related field providing experience in fund raising strategies and activities.
  • Exceptional interpersonal, oral, and written communication skills.
  • Strong computer skills, including database management, word processing, spreadsheet.
  • Analytical and organizational skills. Ability to adhere to deadlines while managing multiple projects simultaneously.
  • Experience with phone/mail strategies and direct gift solicitation.
  • Some weekend/evening work required. Flexibility to travel required.

All team members must have access to and maintain a secure home office environment with high-speed internet service and work collaboratively with others using a variety of technologies and tools. Depending on the type of position and work performed, or as deemed by manager, some positions may be required to work intermittently in an office located in Durham, NC.

EDUCATION/TRAINING

Work requires the skills and knowledge normally acquired through completion of a Bachelor’s degree.

EXPERIENCE

3 years progressive fund raising/customer relations/marketing or sales and promotions experience in team environment. Proven verbal and written communication skills and computer experience with Windows environment. Occasional travel required.
