The Peddie School in Hightstown, N.J., is seeking an experienced executive assistant and team player for the position of Administrative Assistant in the Office of Alumni and Development. The successful candidate will support the Assistant Head for Development and the A&D Team with specific attention to data systems including but not limited to updating data, optimizing and running reports, managing mail-house processes, and providing the highest level of customer service at all times.

Founded in 1864, The Peddie School is an independent, coeducational, college preparatory school of 540 students, grades 9 through post-graduate. It is primarily a boarding school, with 63 percent of students and 90 percent of the faculty living on campus. In addition to its engaged, diverse and accomplished student body, Peddie’s extraordinary resources include the highly professional, collaborative and dedicated faculty, an innovative and rigorous curriculum and an attractive, modern 280-acre campus located midway between New York City and Philadelphia.

Thanks to the generosity of Ambassador Walter H. Annenberg ’27 and other donors, Peddie now ranks among the most highly endowed independent schools in the nation. Its $450 million endowment enables the school to offer more than $9 million in financial aid to 40 percent of the student body.

This is an exciting time at Peddie under the leadership of Head of School Peter Quinn who alongside Assistant Head for Development Karyn Vella recently embarked upon an $80+ million comprehensive campaign, the largest in the school’s history. Currently in the leadership phase, the campaign is focused on doubling the annual fund and raising endowed funds for scholarship, faculty and programs, as well as capital funds for arts and athletics.

As an essential part of our alumni and development team, the ideal candidate will report to the director of development and have the opportunity to be immersed in the inner workings of all facets of our work as a team. The ideal candidate will have relevant experience, enjoy optimizing databases, balance excellent administrative support to not just one, but a variety of teammates, focus on managing student and alumni paper and digital records, and naturally provide firstclass first impressions. The administrative assistant will also work closely with an enthusiastic team of talented, experienced and devoted colleagues.

Primary Duties Include: 

Administrative Assistant/Event and Donor Relations Support (30%)

  • Manage phones, minutes for team meetings, calendars as needed
  • Provide reports and help with travel itineraries and arrangements for frontline fundraisers;
  • Manage the Head of School thank you letters with the director of donor relations and provide support with additional projects as needed;
  • Provide event support including registration, preparing nametags, and post-event reports;
  • Welcome and manage all guests to Coates-Coleman House, including student workers.

Data Services Support (70%)

  • Support the development operations team and prospect management and research teams with data updates including biographical, contact information, and volunteer roles;
  • Manage data updates for deceased constituents;
  • Work with the Registrar to manage transition of paper and digital files and update records;
  • Work with Admissions to manage transition of information during and after admissions process to accurately update the database and communicate with the team;
  • Work with College Counseling to manage transition of student school statements; and
  • Assist with data cleanup projects as needed.

The successful candidate will have:

  • A Bachelor’s degree;
  • Five to seven years of administrative experience;
  • Extensive database experience and demonstrated project management experience;
  • Demonstrated initiative to work independently and the savviness to work across diverse teams on multiple projects with deadlines;
  • Demonstrated understanding of and appreciation for culturally responsive professional practices including the ability to value, work with, respect, and incorporate diverse perspectives;
  • Possess outstanding interpersonal, writing and communications skills, characterized by the ability to listen skillfully and act with a strong customer-centered mindset;
  • The ability to travel and attend evening and weekend functions when necessary;
  • Proficiency in Google Workspace (formerly G Suite), Zoom, Microsoft Excel and Microsoft Word is required; experience with Raiser’s Edge is preferred.
