The Division of Philanthropic & Alumni Engagement (PAE) at the University of Pittsburgh is dedicated to fostering meaningful relationships with donors, alumni, and stakeholders, supporting the University’s mission in education, research, and healthcare. In this role, you will serve as the integral part within PAE’s Annual Programs department, reporting to the Associate Vice Chancellor for Individual Giving, University Programs.

Key responsibilities include:

  • Provide detailed administrative assistance to the Associate Vice Chancellor and University Programs leadership team.
  • Manage scheduling, expense reports, and general customer service for University Programs staff and partners.
  • Schedule, coordinate, and attend meetings.
  • Assist in the creation and generation of reports to support team operations.
  • Oversee departmental budget activities.
  • Serve as the primary liaison with the Division’s Chief Financial Officer (CFO).
  • Enter invoices into Panther Express (PEX), monitor vendor payments, and manage internal transfers.
  • Collaborate with external vendors to establish contracts.
  • Ensure timely completion of deliverables and payments to maintain strong vendor relationships.
  • Arrange travel logistics for conferences and other events.
  • Enter and update data in the SalesForce/Affinaquest system to maintain accurate records.
  • Partner with internal teams and external stakeholders to support the goals of University Programs and the broader Division of Philanthropic and Alumni Engagement.

Job Summary:

Supports senior level roles in a wide variety of complex administrative and office functions as well as specialized technical support for academic or administrative departments.

Essential Functions

  • The individual must have advanced computer skills to navigate multiple scheduling, email, and financial systems.
  • The individual must have superior oral and written communication skills to assist in coordination of special projects.
  • The individual must have organizational skills to balance multiple projects at once.

Physical Effort

Little physical effort required. Duties are primarily sedentary. May be required to move objects up to 25 pounds occasionally.

Minimum Education Level Required: Associate’s Degree

Minimum Years of Experience Required: 5

Will this position accept substitution in lieu of education or experience: Combination of education and relevant experience will be considered in lieu of education and/ or experience requirement.

Work Schedule: Monday – Friday, 8:30 a.m. – 5:00 p.m.

Work Arrangement: Monday – Friday, 8:30 a.m. – 5:00 p.m.

Hiring Range: $40,000-45,000 Annually
