Job Description:

The Coordinator reports to the Senior Director, Major and Leadership Gifts.  Duties include but are not limited to overall support of the advancement division, including major, leadership and planned gifts, annual fund and advancement services, and Jesuit staff members; use of Raisers Edge, Anthology, LiveAlumni, and other database enrichment tools; scheduling and supervision of advancement student workers; maintaining the Advancement travel/events calendar; assisting with travel as needed; and assisting with Board meetings and other activities.

Principal Duties and Essential Functions: 

  • Schedules appointments, makes travel arrangements and coordinates special events as needed;
  • Utilizes Raisers Edge, NXT, FPM and Anthology technologies to create queries and generate reports. Other database needs as assigned.
  • Utilizes Astra to book facilities for events and rooms for meetings.
  • Coordination of mail merges and mailings for staff as needed.
  • Maintains advancement student schedules and projects; assists in regular supervision of student workers; directs students with researching and routing obituaries weekly.
  • Screens phone calls on the main Advancement line (4545) for the department and provides information to alumni, parents, and friends.
  • Creates and maintains computer and manual filing systems for the advancement functions.
  • Assists with the functions of the Board of Regents meetings, committees and webpages.
  • Assists with the functions of SALT, student groups and Phonathon as needed.
  • Assist with the maintenance of the Advancement and Annual Fund webpages – updates, postings, etc.
  • Serves as the primary point of contact for the [email protected] email address.
  • Records contact reports for the division as needed.
  • Works with the Alumni Chaplain on baptisms, weddings and bereavement ministry.
  • Assists in other departmental or divisional activities as needed by the staff.
  • Assists with other duties as assigned by the Senior Director.

Requirements:

  • High School Diploma with a minimum of 3-5 years of experience in a relevant field or Associates Degree required.
  • Excellent customer service skills
  • Strong written and oral communication skills.
  • Demonstrated time management and organization skills.
