Position Function
The coordinator for Leadership Annual Giving is a key member of the team that is responsible for increasing philanthropic support and alumni engagement at Ball State. This position’s primary responsibility is to help manage all aspects of the Leadership Annual Giving office including communication with prospects/donors, confirmation of appointments, travel arrangements, database coding, inventory, office and staff expenses, and other projects as needed.
Duties & Responsibilities
- Provide administrative support to members of the Leadership Annual Giving team who are responsible for securing annual gifts of $1,000+ to Ball State.
- Serve as a point of contact for communication between annual giving donors, alumni, and friends.
- Accompany the assistant directors on select in-state visits with leadership donors and prospects to secure mid-level gifts, and increase alumni engagement at Ball State University.
- Manage day-to-day office operations for the leadership giving team, including ordering office supplies and donor communication pieces.
- Coordinate travel as directed, including meeting confirmations, university car rentals and related reimbursements.
- Submit leadership office invoices for payment; process receipts and statements for staff credit cards.
- Provide excellent customer service to all university and community constituents.
- Coordinate details for and assist with communications to leadership prospects; correspond with donors and prospects regarding questions and requests.
- Record visit/solicitation details in database and provide other internal reports as needed.
- Devise and maintain an interim moves management system for all visits/gifts for leadership giving and provide related analytics as requested.
- Perform other related duties as assigned.
- Maintain regular and predictable attendance.
Minimum Education
Associate’s degree or equivalent.
Minimum Experience
Over one through three years administrative support experience or related experience; excellent written skills.
Preferred Education
Bachelor’s degree.
Preferred Experience
Two or more years of administrative support experience in a higher education office setting and/or within non-profit fundraising; self-motivation; ability to work as a team member within a complex institution; flexibility and willingness to change fundraising tactics and strategy mid-year to achieve stated program goals; desire to grow professionally within fundraising and engagement; excellent communication skills; proficient in Microsoft Office, Google Apps and prior experience with fundraising databases; strong attention to detail and a high level of accuracy and confidentiality; ability to meet deadlines while managing multiple projects
