Reporting to the Senior Director, this position leads all marketing and stewardship projects, initiatives, and programming for the Gift & Estate Planning (GEP) Office. This includes taking the lead on implementing new programs, executing existing and new policies and procedures for prospect tracking, individual donor relation plans and marketing efforts, managing events such as the Heritage Society Tailgate, and creating a comprehensive communication plan for donors, prospects, industry professionals (financial planners, attorneys, accountants), and internal stakeholders. This position serves as the GEP liaison for the Development & Alumni Relations Communications Department (DARComm) and all vendors working with GEP.

Duties and Responsibilities: 

  • Lead all Gift & Estate Planning (GEP) marketing communication and projects including appeals, stewardship, newsletters, industry professional communication and the website.
  • Lead all print and communication projects for GEP. Collaborate with the division’s Communications Department (DARComm) on all concepts and strategies to ensure UGA branding and messaging is followed, obtain any needed quotes from design/print vendors, maintain and develop relationships with vendors, communicate with all fundraising units (upwards of 30) to gather content and graphics, and communicate with the print vendor on all logistics which will include variable data considerations.
  • Oversee and maintain the resource library for Development Officers and professional advisors to educate on the various planned gift vehicles. Work with DARComm and update the resource library materials when needed.
  • Draft and design materials specifically targeted for professional advisors. Coordinate with the Trust and Estates Coordinator to ensure language and messaging is appropriate.
  • Create marketing efforts in the Giving and Alumni Information Link (GAIL) system, export distribution lists to print vendor via UGA SendFiles platform, and update the GAIL calendar to reflect mail dates.
  • Lead the design effort and work with internal staff to ensure logos and other graphics are university-approved, ensure compliance with charitable solicitation laws, and monitor all invoices related to the postcards to ensure timely payment as appropriate.
  • Coordinate delivery of Heritage Society gifts and acknowledgement letters including Presidential acknowledgements.
  • Coordinate birthday and holiday cards, maintain updated list of Heritage Society members to encourage regular touch points as well as to include in annual reports and impact statements, and organize annual tailgate for Heritage Society members.
  • Monitor the Office of Gift and Estate Planning’s website to ensure content is relevant and accurate. Responsibilities may include overseeing the complete redesign of the format and content as deemed necessary to keep webpage current and to comply with university branding and campaign messaging.
  • Review web analytics semimonthly to analyze and report on web traffic.
  • Develop a report for tracking web traffic (i.e., number of hits, email addresses for individuals clicking on links, if available, etc.) and present data to the Gift and Estate Planning team in each bi-monthly team meeting to be used as a prospecting tool.
  • Lead the oversight for referral and tracking of all leads disseminated to the units generated because of the Office of Gift and Estate Planning’s proactive prospecting and marketing efforts to ensure timely and appropriately follow-up.

Minimum Qualifications: 

Requires at least a baccalaureate degree in the field.  Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Preferred Qualifications: 

  • Bachelor’s degree and three plus years of full-time professional experience in relationship management, prospect research, development, sales, marketing, business administration, higher education, or project management.
  • Prefer experience overseeing the creation of marketing and/or advertising campaigns through various mediums of communication and targeted to different constituent segmentations.

  • Excellent written and verbal communication skills, including ability to convey complicated gift planning concepts to donors, professional advisors, and internal constituents
  • Ability to handle multiple tasks simultaneously, assess priorities, and track details in a fast-paced environment
  • Ability to plan an event and ensure that all details are scheduled in an appropriate advanced manner, all vendors are scheduled and paid within a fixed budget.
  • Self-motivated and have the ability to work well independently and collaboratively with a team.
  • Ability to provide critical feedback to colleagues and staff who report to this position on a regular basis to ensure communication occurs often.
  • Demonstrated computer skills, including knowledge of Microsoft Office
